Job Description Your Impact as a Receptionist Frontier Veterinary Hospital is looking for a Client Service Representative to join our team. Our CSRs help guide clients through their visits, coordinate appointments, and keep communication flowing between pet owners and the medical team. Veterinary reception is meaningful work, and it's also a high energy, fast paced, team environment where the day moves quickly. Our CSRs support clients during everything from routine visits to difficult moments with sick or aging pets while helping keep the hospital organized and moving efficiently. This is an active role that involves moving throughout the hospital rather than sitting at a desk for long periods. People who enjoy staying busy in a fast paced environment tend to do especially well in this position. A typical shift includes checking in patients, answering phones, scheduling appointments, coordinating with doctors and technicians, processing invoices, and helping maintain the overall flow of the hospital. CSRs rotate through different roles, including assisting with medical record documentation during appointments. Successful CSRs communicate clearly and kindly, stay organized when things get busy, work well as part of a team, pay attention to detail, and show up reliably for their coworkers. Because the front desk relies heavily on teamwork, consistent attendance and dependability are extremely important. Strong communication and a good sense of humor go a long way in keeping the day running smoothly! Experience in veterinary medicine is helpful but not required. Many excellent CSRs come from strong customer service backgrounds and learn the medical side of the job over time. Candidates with experience in fast paced service environments such as retail, hospitality or restaurants are encouraged to apply. This is a dedicated client service position and is not intended as a stepping stone into technician training. This is a full time position, five days per week. Morning and evening availability is required along with at least one weekend day each week. Because veterinary hospitals serve patients throughout the day, shifts may occasionally run a bit longer when the hospital is busy and team members support one another to make sure patients and clients are taken care of. Your Impact as a Patient Care Coordinator As a Patient Care Coordinator, you will be the central point of contact for our clients, guiding them through their entire visit from check-in to check-out. You will serve as a vital link between the client and the medical team, capturing medical notes, creating treatment plans, and coordinating all aspects of patient care to ensure a seamless and supportive experience. Your Impact Will Include: Setting the Stage for a Great Visit: You'll contact clients before their appointments to set expectations, answer questions, and ensure they are prepared for their visit. Acting as a Medical Scribe: You will be in the exam room to capture real-time medical information from the veterinarian, ensuring all records are accurate and up-to-date. Creating Treatment Plans: You'll create, present, and clearly explain treatment plans to clients in accordance with the veterinarian's directions. Coordinating Seamless Care: You will collaborate with the technical team to ensure the veterinarian's treatment plan is completed efficiently and handle all in-room check-outs, including payments and scheduling follow-ups. Educating Clients: You'll clearly explain discharge instructions, ensure prescription fulfillment, and address any client inquiries. Following Up with Care: You will conduct post-visit follow-ups to check on the well-being of pets and communicate any test results. What You'll Bring to the Team A high school diploma or equivalent. A genuine love for animals and a passion for delivering exceptional client service. A friendly, personable, and empathetic demeanor. Proficient in active listening, with strong computer literacy and typing skills for accurate medical transcription. Excellent written and verbal communication skills. Knowledge of (or eagerness to learn) veterinary medical terminology is preferred.
